6 things you need to know before hiring a wedding tent

Whether you want a floral Spring nuptial or a cosy winter spectacular – an event tent can be a fantastic venue for your wedding. Not only do you have more choice on where you can pitch a tent, but you also have the freedom to decorate however your heart desires. 

Before hiring your event tent, we have a few useful tips to help you get started.  

Calculate your budget 

When planning a wedding it’s important to start by calculating a realistic budget. We recommend making a list of everything you’d like at your wedding and then going through the list and rating how important each thing is to you. For example, if you rate flowers higher than a cake, you could dedicate more of your budget to flowers and look at cheaper options for a cake. Don’t be afraid to cut corners and make things yourself.  

Choosing the right tent 

Before hiring your tent, it’s a good idea to know how many guests you will be inviting. This will help you decide the size of tent you need and the style you’d like to go for.

There are a few crucial things you need to check before deciding your pitching location:  

  • What are the permissions you need to pitch and how much will it cost? 
  • Are there noise restrictions? 
  • Where on-site are you allowed to pitch? 
  • What time are you allowed to start setting up and what time must your event finish? 

Plan for all weathers 

Even if you’re wedding day is booked for the middle of summer, you still need to make a wet weather plan. It’s a good idea to consider having walls that can easily be installed on your tent to avoid anything getting damp and provide protection against the wind. Technology is not only changing our day-to-day lives but also having a fundamental impact on the events industry. From how an event is organised, happens, and interacted with.  

Here are some of the top techs we recommend for helping you with your event planning process – from start to finish.  

Event planning apps & tools 

Planning an event can be very time-consuming, so make sure you’re using the right tools to help utilise your time. We’d recommend Asana , which is free (for up to 10 users). It  allows you to create boards, timelines, and Gantt charts. This will help you keep on top of deadlines and split your event planning up into manageable chunks.  

Another event planning software is Planning Pod, a paid-for specific event management tool, which includes  help  with budgeting, itineraries, customer communication, catering management, and appointment scheduling. There’s also a built-in floor plan tool to help plan the layout of your event.  

Alternatively, if you just need a tool to arrange your table plan – Top Table Planner (a free trial is available) could be for you. This is ideal for wedding planners who may need to move people about at the last minute.  

Registration and ticketing 

There are plenty of tools out there that make registering and ticketing for an event simple for you and your attendees. Here are a few of our top recommendations:  

  • Webex Events – this includes registration, event check-in and badge printing, an event app, and customisation. Within the app, attendees can also easily share contact details with other people by shaking their phones next to each other.  
  • Hubspot Online Form Builder – it’s free to use, customisable and includes automated emails. 
  • Splash – it has everything from ticketing to guest management to reporting. 
  • Eventbrite – this includes ticketing, analytics, and an organizer app which allows you to check in guests and sell tickets at the door. 

Event communication 

It’s important to keep your attendees up to date in the lead-up to your event, whether it’s by social media, email or letter. To help you create quick content try AI sites like Click-up, which will generate your comms based on the information you’ve input.

New Year’s resolution: Reduce the rubbish

As fun, as many events can be, it’s no secret that they can create a lot of waste.

At Amazing Tents, we work hard to ensure no disposable items are used for our event tents – every part of the structure is reusable.  

To celebrate the New Year in an environmentally friendly way, we’ve got some suggestions on how you can make your event sustainable without compromising on the fun. 

Provide recycling stations 

When enough bins aren’t provided at an event it can lead to them being overfilled and waste thrown on the ground.  

To keep the event tidy and help protect the environment, make sure to provide plenty of bins and recycling areas. You could even run incentives to encourage more recycling, like money off drinks for every cup recycled.  

Remove single-use items 

You will have seen this being done more and more in the event industry as we move away from single-use plastic.  

The main area this will affect at your event is how you serve food and drink. Try opting for reusable crockery or recyclable materials. There are lots of event hire companies that will provide you with the all crockery you need and then after the event take them back to be professionally cleaned.  

Hire your decorations 

As pretty as a lot of decorations you find can be, a lot of them don’t tend to be recyclable or reusable.  

Opting to hire your decorations will allow you to bring your event to life with minimal wastage.  

Be responsible behind the scenes 

Your staff can also help to make the event more sustainable behind the scenes.  

For instance, using reusable water bottles, cutting up any plastic that might be harmful to wildlife (like plastic beer packaging), making sure electricity is being turned off when it’s not being used, and encouraging guests to recycle or take their rubbish home.  

Arrange transport for your guests 

To save on multiple cars arriving at your venue, it’s a good idea to arrange buses for your guests so that they all come together. This is a simple way to reduce your carbon footprint by significantly reducing the number of cars on the road which lessens the number of carbon emissions released into the atmosphere.  

You could also suggest carpools if some people can’t make the collection points. 

Switch to digital tickets 

Cut out the plastic wristbands and printed tickets by opting for digital ticketing where guests use their mobile phones.   

The option to print can still be there for people who don’t have a smartphone, but the majority of people will be happy to use their phones – especially if it cuts out the hassle of printing.
