A summer of festival fun

With the largest selection of saddlespan tents in Europe and a seasoned team of event professionals, we’ve had a busy summer supporting various festivals. We recap the events where our saddlespan tents made an impact. 

Our festival season kickstarted in May this year with Tunes in the Dunes on 17 – 19 May. Taking place on the golden sands of Perranporth beach in Cornwall. This year’s headliners included McFly, Craig David, Ellie Sax, The Bootleg Beatles, and The Feeling. As well as music, the festival offered yoga, surfing, and plenty of places to eat and drink. The dates and tickets for next year’s festival are now out, taking place on 6 – 8 June 2025.  

A week later, we saw some big names at the BBC Big Weekend in Luton’s Stockwood Park, including Coldplay, RAYE, Sabrina Carpenter, Charli XCX, Vampire Weekend, and lots more. Over 100,000 festivalgoers attended the event to dance the weekend away. We look forward to finding out where the festival will be heading in 2025.  

Flashforward to August, this was our busiest festival weekend. Starting with Reading and Leeds festival taking place on the 21 – 25 August. This year’s headliners included Blink 182, Fred Again.., Lana Del Rey, and Renee Rap. We were thrilled to see one of our saddlespan tents was used for the BBC Radio 1 stage that showcased upcoming talent.   

Between 22 – 25 August, we also pitched up at Creamfields North in Cheshire. This electronic dance festival included global DJs from Calvin Harris to Armin Van Buuren to Tiësto.  

We ended the festival season with the fantastic Big Feastival at Alex James farm in The Cotswolds. This family-friendly festival included music from the likes of Becky Hill, Snow Patrol and Cat Burns. Food shows with top chefs, including Andi and Miquita Oliver, Cherish Finden, Fitwaffle, and Jack Stein. And plenty more for the kids, including Silly Science, Cotswold Farm Park and entertainment from Children’s TV star Justin Fletcher.

Keep mischievous bugs at bay during your event

After a seemingly ceaseless downpour of rain over the last couple of months, the sun is starting to make an appearance. Simultaneously, so are all the bugs.  

They thrive in mild temperatures and wet conditions, making your event tent this summer their prime target. Here are some easy tricks to keep your tent bug free for your event. 

Removing water sources around the tent 

We might love to complain about the weather, but this year we may have the grounds to grumble as we have had some of the wettest months on record. Unfortunately, the multiplying bugs love standing water, so, if possible, plan your event and your tent location away from streams or lakes however picturesque they may be.  

For the few of you who have your hearts set on a lakeside wedding or party, try removing all other sources of standing water as well as taking on board some of the following ideas. 

‘Be Smitten Not Bitten’ – The survival kit 

Create a ‘survival station’ near your tent to keep guests happy. All you need is a table with bug protection such as bug spray, bite cream and citronella candles – you can also get some citronella bracelets for kids.  

Citronella is also fantastic for disguising other smells, making it harder for bugs to find food sources. Also, the use of essential oils like peppermint and Eucalyptus will keep guests relaxed whilst fighting away insects. 

Thankfully, many insects do not like the shade and so our versatile SaddleSpan tents will provide your guests with a retreat away from pestering bugs.  

Flowers for tent decoration 

When selecting decoration ideas, it’s important to consider the use of insect-repelling flowers. Some dried lavender hung inside your tent will both provide a fragrant scent and deter bugs who have no care for the sweet smell.  

Chrysanthemums or marigolds could add vibrant rainbows of colours to your celebrations as well as deal with the problem of hard-shell bugs and midges. Herbs like rosemary, basil or mint could also prove useful and would be easy to incorporate into your decorations from parties to festivals. 

Soft lighting and hidden fans 

With longer evenings the party celebrations can go on well into the night. When darkness does finally fall, keep the festivities going with the use of warmer-toned lights to keep your Saddlespan tent both cosy and bug-free. Avoid bright white lights as they not only create a more clinical feel to the soirée but also act as a beacon for insects to follow.  

A subtly hidden fan disguised in decorations will ward off insects too. Plus, the light breeze will keep guests cool.  

Stop insects feasting on your food 

To avoid insects digging into your meal as well as you, steer clear of leaving food uncovered. This especially applies to raw meat and sweet treats.  

If you are having buffet-style dining, you could use mesh beaded food coverings to keep the food safe from bugs.  

Hopefully with this guidance, bugs will be unable to interfere with your event, no matter the location, weather, or season.

Event tent décor that will make a lasting impression

Bring your event tent to life this summer whether you’re going for a cosy laid-back vibe or refined and elegant

1. Make a statement entrance 

Set the tone from the very beginning and think about what your guests will first see as they walk into the tent. You could decorate this with a flower arch, ribbons that float about in the wind, or pretty hanging paper lanterns.  

2. Create an atmosphere with light 

If you’re going for a dark atmospheric evening, think of candle sticks and lamps. Low lighting will help to create a mystical mood. Or if you’re going for an uplifting party vibe, why not hang up a glittering disco ball?

5. Create chill lounge areas  

To keep your guests comfortable during your event, why not create lounge spaces with stylish furniture. Think fluffy rugs, plush cushions, and soft blankets, pulled together with lamps and plants.

5 tips for hosting an inclusive and accessible event

We’re sure you’ll agree as an event planner, that creating an event where everybody has a fantastic time is your number one priority. With that in mind, your event must make everyone feel comfortable and welcome. Here are our 5 top tips to help do this: 

1. Choose an accessible venue 

When choosing your venue, keep in mind whether it is suitable for everyone, including- but not limited to people with reduced mobility, blind or visually impaired, and deaf or hard at hearing. It’s vital to check with the venue manager about accessibility and the different requirements like, ramps or elevators, accessible bathrooms, and whether it is safe for service dogs.   

Our saddlespan tents are a great accessible space as they allow plenty of space to move around in, they do not require any ramps, and they can be installed with the most suitable flooring for your guests.  

2. Creating diverse content 

Whether you’re planning a corporate conference or an artsy workshop, it’s a good idea to create content that appeals to a range of guests. As well as having speakers from a range of backgrounds, to give different perspectives. 

If your event includes teaching something, think about how you can help people learn in different ways. Whether that’s through discussion, playing, experimenting, or kinesthetic learning. Our saddlespan tents provide enough room for all types of activities, whether you need a stage for speakers, long workshop tables, or just enough room for physical activities like yoga. 

3. Provide inclusive communication 

To ensure people who are deaf or hard at hearing feel included in the discussion, hire qualified sign language interpreters to help sign talk next to the speaker. Also, if you’re showing any videos or slideshows, make sure they are captioned with a large font that can be easily read from afar. 

4. Cater for a range of diets 

When deciding what food to have at your event, it’s best to consider everyone’s dietary requirements and allergies. Be sure to include options that are dairy-free, gluten-free, halal, kosher, vegetarian, vegan, and non-alcoholic. 

You should also be mindful of how the food is being served. For instance, if it’s buffet-style, will someone with limited mobility or someone who is visually impaired be able to access it safely?   

5. Creating neurodiverse spaces 

Neurodiversity is a way of explaining how unique brains work. People who are neurodiverse tend to process information differently from how the average person’s brain would. At an event, you’ll want to consider how to make safe spaces for these people. Keeping festival goers safe and happy

Festival season is just around the corner. To create a fun, exciting, memorable festival experience for your guests, it’s important to have their health and safety at the forefront of your mind.  

Here are a couple of things you will need to consider before and during your event to keep everyone safe and happy: 

Pre-event communication  

Communication before your festival is essential to make sure your guests are aware of the rules and requirements expected of them on-site. This is everything from ticket entry to travel to guest behaviour.  

It’s also a good time to advise your guests on what to bring with them. Unfortunately, festivals can sometimes see a lot of theft, therefore it’s a good idea to remind your guests to not bring anything valuable.  

To save on space at your event, you could plan to divide your tents into seperate areas. For instance one section could be for lost property and another section as a safe space. Our saddlespan tents give you this flexibility to use for lots of different purposes.

Creating safe spaces 

It’s important to have zero tolerance for assault and harassment at your event. By creating a dedicated safe space – in a dedicated tent which is clearly sign posted –  this will allow people to report any unsociable behaviour discreetly.  

You can also create a code word that can be used by festival goerssomeone is having a bad experience with someone else that they can’t get out of. One of the most known code words is going to a bar and asking for ‘Angela’. This will allow your staff to be notified that the person is in danger or feeling uncomfortable so that they can help them to be removed from the situation. 

If your event allows families and children to attend, it’s also a good idea to create a children’s space/tent in case they get lost. A dedcated space where parents can go and children can be kept safe. 

Minor injuries tent 

Some festivals can get quite crazy, so it’s no surprise that this can lead to injuries. Some of the most common festival injuries include sunstroke, sprained ankles, cuts and bruises, bug bites, and overdoing it with alcohol and drugs. 

Making sure you have a medical assistant on hand will help your guests to have a smooth recovery. You should also put a plan in place in case you need an emergency ambulance to access the site for serious injuries.

Hydration stations

Phone charging ports 

After videoing whole performances and taking a thousand pictures with friends, it’s no surprise a phone battery might not survive the festival weekend. Providing charging ports at your festival will allow your guests to keep capturing memories and help them  stay in touch with their friends at the site. 

Employ plenty of staff and volunteers 

You will need as many hands as you can get at a festival. It’s essential for the safety of your guests that the site is kept as clean as possible. From rubbish on the floor to festival toilets. Having a good number of staff will also help to keep an eye on the event and ensure everything runs smoothly.

How to bring wellness into your event

In today’s fast-paced world, wellness and self-care have become a priority for more and more people. And it’s not surprising we’ve seen this rise in the events industry too.

6 things you need to know before hiring a wedding tent

Whether you want a floral Spring nuptial or a cosy winter spectacular – an event tent can be a fantastic venue for your wedding. Not only do you have more choice on where you can pitch a tent, but you also have the freedom to decorate however your heart desires. 

Before hiring your event tent, we have a few useful tips to help you get started.  

Calculate your budget 

When planning a wedding it’s important to start by calculating a realistic budget. We recommend making a list of everything you’d like at your wedding and then going through the list and rating how important each thing is to you. For example, if you rate flowers higher than a cake, you could dedicate more of your budget to flowers and look at cheaper options for a cake. Don’t be afraid to cut corners and make things yourself.  

Choosing the right tent 

Before hiring your tent, it’s a good idea to know how many guests you will be inviting. This will help you decide the size of tent you need and the style you’d like to go for.

Tech that takes the stress out of event planning

Technology is not only changing our day-to-day lives but also having a fundamental impact on the events industry. From how an event is organised, happens, and interacted with.  

Here are some of the top techs we recommend for helping you with your event planning process – from start to finish.  

Event planning apps & tools 

Planning an event can be very time-consuming, so make sure you’re using the right tools to help utilise your time. We’d recommend Asana , which is free (for up to 10 users). It  allows you to create boards, timelines, and Gantt charts. This will help you keep on top of deadlines and split your event planning up into manageable chunks.  

Another event planning software is Planning Pod, a paid-for specific event management tool, which includes  help  with budgeting, itineraries, customer communication, catering management, and appointment scheduling. There’s also a built-in floor plan tool to help plan the layout of your event.  

Alternatively, if you just need a tool to arrange your table plan – Top Table Planner (a free trial is available) could be for you. This is ideal for wedding planners who may need to move people about at the last minute.  

Registration and ticketing 

There are plenty of tools out there that make registering and ticketing for an event simple for you and your attendees. Here are a few of our top recommendations:  

  • Webex Events – this includes registration, event check-in and badge printing, an event app, and customisation. Within the app, attendees can also easily share contact details with other people by shaking their phones next to each other.  
  • Hubspot Online Form Builder – it’s free to use, customisable and includes automated emails. 
  • Splash – it has everything from ticketing to guest management to reporting. 
  • Eventbrite – this includes ticketing, analytics, and an organizer app which allows you to check in guests and sell tickets at the door. 

Event communication 

It’s important to keep your attendees up to date in the lead-up to your event, whether it’s by social media, email or letter. To help you create quick content try AI sites like Click-up, which will generate your comms based on the information you’ve input.

New Year’s resolution: Reduce the rubbish

As fun, as many events can be, it’s no secret that they can create a lot of waste.

At Amazing Tents, we work hard to ensure no disposable items are used for our event tents – every part of the structure is reusable.  

To celebrate the New Year in an environmentally friendly way, we’ve got some suggestions on how you can make your event sustainable without compromising on the fun. 

Provide recycling stations 

When enough bins aren’t provided at an event it can lead to them being overfilled and waste thrown on the ground.  

To keep the event tidy and help protect the environment, make sure to provide plenty of bins and recycling areas. You could even run incentives to encourage more recycling, like money off drinks for every cup recycled.  

Remove single-use items 

You will have seen this being done more and more in the event industry as we move away from single-use plastic.  

The main area this will affect at your event is how you serve food and drink. Try opting for reusable crockery or recyclable materials. There are lots of event hire companies that will provide you with the all crockery you need and then after the event take them back to be professionally cleaned.  

Hire your decorations 

As pretty as a lot of decorations you find can be, a lot of them don’t tend to be recyclable or reusable.  

Opting to hire your decorations will allow you to bring your event to life with minimal wastage.  

Be responsible behind the scenes 

Your staff can also help to make the event more sustainable behind the scenes.  

For instance, using reusable water bottles, cutting up any plastic that might be harmful to wildlife (like plastic beer packaging), making sure electricity is being turned off when it’s not being used, and encouraging guests to recycle or take their rubbish home.  

Arrange transport for your guests 

To save on multiple cars arriving at your venue, it’s a good idea to arrange buses for your guests so that they all come together. This is a simple way to reduce your carbon footprint by significantly reducing the number of cars on the road which lessens the number of carbon emissions released into the atmosphere.  

You could also suggest carpools if some people can’t make the collection points. 

Switch to digital tickets 

Cut out the plastic wristbands and printed tickets by opting for digital ticketing where guests use their mobile phones.   

The option to print can still be there for people who don’t have a smartphone, but the majority of people will be happy to use their phones – especially if it cuts out the hassle of printing.
