5 tips for hosting an inclusive and accessible event

We’re sure you’ll agree as an event planner, that creating an event where everybody has a fantastic time is your number one priority. With that in mind, your event must make everyone feel comfortable and welcome. Here are our 5 top tips to help do this: 

1. Choose an accessible venue 

When choosing your venue, keep in mind whether it is suitable for everyone, including- but not limited to people with reduced mobility, blind or visually impaired, and deaf or hard at hearing. It’s vital to check with the venue manager about accessibility and the different requirements like, ramps or elevators, accessible bathrooms, and whether it is safe for service dogs.

2. Creating diverse content 

Whether you’re planning a corporate conference or an artsy workshop, it’s a good idea to create content that appeals to a range of guests. As well as having speakers from a range of backgrounds, to give different perspectives. 

If your event includes teaching something, think about how you can help people learn in different ways. Whether that’s through discussion, playing, experimenting, or kinesthetic learning. 3. Provide inclusive communication

4. Cater for a range of diets 

When deciding what food to have at your event, it’s best to consider everyone’s dietary requirements and allergies. Be sure to include options that are dairy-free, gluten-free, halal, kosher, vegetarian, vegan, and non-alcoholic. 

You should also be mindful of how the food is being served. For instance, if it’s buffet-style, will someone with limited mobility or someone who is visually impaired be able to access it safely?   

5. Creating neurodiverse spaces 

Neurodiversity is a way of explaining how unique brains work. People who are neurodiverse tend to process information differently from how the average person’s brain would. At an event, you’ll want to consider how to make safe spaces for these people. Tech that takes the stress out of event planning

Technology is not only changing our day-to-day lives but also having a fundamental impact on the events industry. From how an event is organised, happens, and interacted with.  

Here are some of the top techs we recommend for helping you with your event planning process – from start to finish.  

Event planning apps & tools 

Planning an event can be very time-consuming, so make sure you’re using the right tools to help utilise your time. We’d recommend Asana , which is free (for up to 10 users). It  allows you to create boards, timelines, and Gantt charts. This will help you keep on top of deadlines and split your event planning up into manageable chunks.  

Another event planning software is Planning Pod, a paid-for specific event management tool, which includes  help  with budgeting, itineraries, customer communication, catering management, and appointment scheduling. There’s also a built-in floor plan tool to help plan the layout of your event.  

Alternatively, if you just need a tool to arrange your table plan – Top Table Planner (a free trial is available) could be for you. This is ideal for wedding planners who may need to move people about at the last minute.  

Registration and ticketing 

There are plenty of tools out there that make registering and ticketing for an event simple for you and your attendees. Here are a few of our top recommendations:  

  • Webex Events – this includes registration, event check-in and badge printing, an event app, and customisation. Within the app, attendees can also easily share contact details with other people by shaking their phones next to each other.  
  • Hubspot Online Form Builder – it’s free to use, customisable and includes automated emails. 
  • Splash – it has everything from ticketing to guest management to reporting. 
  • Eventbrite – this includes ticketing, analytics, and an organizer app which allows you to check in guests and sell tickets at the door. 

Event communication 

It’s important to keep your attendees up to date in the lead-up to your event, whether it’s by social media, email or letter. To help you create quick content try AI sites like Click-up, which will generate your comms based on the information you’ve input.
