5 interactive ideas to engage your event guests

Whether you’re hosting a conference, wedding, workshop, or team-building event – getting your guests involved is a great way to keep them engaged and active in the conversation. Here are a few ways to keep them on their toes… 

Catch the mic 

Let your guests share their thoughts by throwing an interactive microphone ball around. A great example of this is a Catchbox – a soft box with a microphone inside. This is a fun way of hearing your guests’ opinions and allowing them to interact with the speaker.  

Livestream your event 

Create some hype at your event by livestreaming on social media and getting guests involved. You could do this by setting up a dedicated social media area where people can be interviewed about the event. It’s also a good idea to have an area where your attendees can create content with your company logo and colours in the background. 

Transport your guests using VR  

Help your guests visualise a product or a place through the power of virtual reality (VR). For example, if you were promoting an African safari, your guests could be transported amongst the animals via a VR headset. Or, if you want to show off a product like a new car model, VR can help your guests to visually see all its features. The possibilities are endless!  

Interactive food and drink stands 

In recent years this has become more and more popular at events – especially weddings. Instead of opting for another drab buffet, excite your guests with something different. You could have a make-your-own pizza station, a portable oyster bar, or a cheesecake table. As for drinks, provide a ‘pimp your hot chocolate’ station, complete with cream and lots of indulgent toppings. As they say, a way to someone’s heart is through the stomach.  

Customisable photobooth  

Create a lasting memory for your guests with a unique photo or video to keep. There are lots of products out there including selfie pods, GIF photo booths, and roaming photo booths. These are hireable at companies like Boothco.

Making your event tent ‘summery’!

As well as large events and festivals, a smaller summer celebration can be the perfect way to party – weddings, birthdays, corporate fun days, engagements, and christening parties can all be enjoyed in a Saddlespan. Make the most of the warmer weather and create a fun, beautiful environment for your colleagues, friends, and family.

Here’s our top tips for planning your exceptional event this summer in one of our unique structures: 

  • Choosing the right size SaddleSpan – before ordering, consider the number of guests you are hosting and the type of party. Is it a sit-down event with food and drinks? Will you want to dance under the stars or be covered by a canopy? 
  • Decoration is key – weddings and christenings might be lighter décor with chandeliers, and an engagement or birthday party might be themed to suit the couple or birthday person’s interests. We have many contacts in the tent interiors business who can guide you with these choices. 
  • Would you like a side with that? – for a family fun day you might opt for a circus or Hawaiian theme, so why not remove the sides from the #Saddlespan for flexibility and room for fun. Whether it’s juggling or hula-ing! This is also a good option for wedding receptions, so your guests can easily mingle inside and outside.  
  • Don’t forget the lights – if you’re planning to party into the evening, you will need to ensure that you have adequate lighting set up to keep the party going. We can help with this too.
  • Furniture – do you need tables and chairs for sit-down dining, or a relaxed seating area near the bar? Depending on the theme and ‘feel’ of your event there are many options to be considered.

Tips for planning a party for friends and family

From 19 July COVID19 restrictions are due to be relaxed, allowing larger gatherings.

For over a year we’ve all stayed away from large gatherings and missed out on celebrating those big birthdays and milestones with friends and family. From 19 July 2021, when restrictions are due to be lifted, we can look forward to getting our family and friends together to make up for lost time. Planning an event for a large number of people can be daunting, especially after a year of lockdowns and limited social contact, so we’ve put together a list of things to consider to make your catchup celebration one to remember for all the right reasons!

Plan for the British weather
At Amazing Tents we supply event structures for large festivals, but our smaller configurations are perfect for family parties and weddings too. These provide much needed shade and rain cover to keep your party going whatever the weather, and save needing to find an indoor space large enough.

Arrange catering
Preparing food for a large gathering can be quite a feat, so hiring in outside catering can be a great way to reduce the stress of organising a party. There are plenty of options to suit every budget from supermarket food platters to hiring a personal chef! If you bring in outside caterers to work at the party we can provide marquees and tents to accommodate food preparation areas.

Keep your guests hydrated
Its easy to get carried away thinking about alcoholic options like wine and cocktails for parties, but don’t forget to plan non alcoholic drinks for those avoiding alcohol, children and to keep guests hydrated between alcoholic drinks too. Jugs of water with fruit and ice are a great option to keep guests hydrated but also look great and can add to your decoration.

Provide entertainment
Music and other entertainment can be a great way to get the party atmosphere started. It doesn’t have to be expensive, a mobile phone or tablet connected to a speaker is a great option. You could also consider a local band or musician to bring that special touch to your gathering.

Think about the kids
Many family parties will include children, and keeping them entertained means a well-earned break for their parents! Bouncy castles, garden games such as croquet, and organised activities like scavenger hunts are a great way to keep them busy. You might also want to consider a separate marquee or tent to give children a covered space just for them.

Hello, can you hear me?

So you’ve booked the venue, planned your event, sorted out the entertainment and even chosen the reception drink. There’s one vital component: guests.

No matter how amazing the event you’ve organised is, it won’t sell itself. You need to come up with a compelling event marketing strategy which promotes it effectively to your target market. Using an adhoc approach whereby you scattergun out some social media here, a press release there, and send out emails to all your friends hoping they forward them on might work to a limited degree – but to truly drive ticket sales, you need to take a logical approach which slowly builds on each promotion.

Rule number one: don’t market your event too soon! In all the rush and excitement of setting up your event, don’t go live with an events page before you’ve got all the vital information set. Promote: there are so many social media platforms these days that you don’t just have to stick to Facebook, LinkedIn and Twitter. Try using different platforms to engage with your potential audience. You might even be able to find yourself the perfect event…

Partnership: these can be crucial to the success of your event. Think about complementary brands, media partners and collaborators – all of these can help you to make your event a success. Start sending out feelers long before you send out your first eshot as the right partner can help transform your event marketing and help you reach even more of your target market, all ready for your event…

Launch! Once you’re into a steady cycle of content creation (not too salesy, remember), promotion and engagement, all supported by regular emails, then you need to launch. That’s just the start of the conversation though; you’ll need to maintain your momentum. You’re running a marathon, not a sprint. This is the hardest part of pre-event promotion – in the words of one of our favourite Disney characters, now you just need to keep on swimming, swimming, swimming… all the while keeping all the rest of the event management plates spinning.
