The Secret of Stress-Free Event Planning

Planning an event can be stressful; client expectations are high and they are phoning you twenty times a day, you have a million things to do with hundreds of people to co-ordinate. The clock is ticking.

So how do you stay calm and stress free before a big event? Here we have 7 great tips from event planning experts on LinkedIn that might just help settle your heart rate.

1. Brief and Update

Create and distribute a briefing sheet well in advance of the event that explains, in detail, each step that needs to be taken, who is responsible for that step and when it needs to be completed. Update the briefing sheet regularly and ask everyone to check the sheet before pestering you with questions.

2. Plan for the Worst

What are you going to do if the showground gets waterlogged? If there’s a fire do you know the evacuation drill? Where is the nearest emergency generator? Take time in advance of the event and go through a few worst case scenarios and plan for dealing with them.

3. Be ready Early

If possible, try and get everything finished 24 hours before the event so that you have time to deal with any last minute problems.

4. Delegate and Trust

As much as you might be tempted, you can’t do everything yourself.  To make your life easier develop a strong team around you, use professional, experienced contractors and trust them to do the job. You are the ringmaster, not the circus.

5. Regular Client Liaison

Make sure that you and your client are singing from the same hymn sheet. What they think they want and what you think they mean might be totally different. Get everything in writing and keep communicating.

6. Expect the Unexpected

However carefully you plan, no matter how experienced you are or how good your team is there will always be something you didn’t expect. Be prepared for it. Expect the unexpected and you won’t be surprised.

7. Have Fun!

Our Amazing Arco to provide shelter at Havering Big Dance Weekender

This weekend we will be supplying one of our Amazing Arco event shelters for a fabulous event, the Havering Big Dance Weekender. The event is based in and around Queen’s Theatre, Hornchurch.
 
The event really is the A to Z of all things dance and features The Big Dance School’s Pledge World Record Attempt. The aim is to have 250,000 people dancing to the same choreography across the world, at the same time. This would break the world record of people dancing at the same time in multi venues. – Amazing.
 
As well as the world record attempt there will be a lot more going on through out the weekend, including, workshops and performances on the Queen’s Theatre Green, the Ballroom Blitz offering a swinging dance floor with live band, the Big Dance Bus to help get everyone dancing.
 
Our ARCO tent will provide shelter to children from Havering schools as they take part in dance workshops and performances. We are really looking forward to this fantastic and unique event and wish all the dancers around the world the best of luck with their world record attempt; we’ll keep our fingers crossed for you.

The Amazing Tent Company at Chris Evans’ CarFest South & North

This summer the inaugural CarFest events are being held in aid of BBC Children in Need.

The Amazing Tent Company are proud to be supplying two of our Amazing S5000 SaddleSpan tent structures for the Southern and Northern festivals. CarFest is a haven for petrol heads, its being branded as ‘the perfect family festival.’ Attractions at the event include live music, fast cars, expensive cars, dancing diggers, cookery classes and demonstrations, face painting… the list goes on and on.

CarFest is the brainchild of car nut Radio 2 Breakfast Show host Chris Evans. Chris will be parading his personal collection of pristine white Ferraris around the shows. You can purchase your own classic car in a series of auctions running over the 2-days, and if you already have a classic motor then you get to park in your own exclusive car park… How cool is that?

We can’t wait for what promises to be a fantastic festival. Chris has done a great job pulling the shows together from a seed of an idea, and the fact the tickets sold out within an hour of going on sale hints that we are in for a real treat!

More Amazing events added to the 2012 summer schedule

The Amazing Tent crew are in for an exciting summer packed full of delightful events, and this week we have added a couple more to the busy schedule.
 
In July we will be providing an S5000 SaddleSpan concert stage cover for the Larmer Tree Festival. The stage cover will be positioned on a deck covering the main stage. We look forward to being a part of this picturesque and wonderful event.
 
We also journeyed down to Weymouth to confirm arrangements for supplying an S2000 SaddleSpan canopy for the Weymouth free beach event. The event takes place during the opening day of the Olympics. The structure will form part of a spectacular choral presentation with the Olympic opening ceremony beamed live on huge projection screens – Sounds fantastic, we look forward to seeing the finished spectacle.
 
Also confirmed this week, The Amazing Tent Company will be working with Dave Fuller of G Stages to provide state of the art decking systems, custom designed to support our structures. We will write up a separate blog post about this soon…
 
We are really excited to be supplying our event tents to some truly fascinating places this summer, lets hope the rain clears soon and we get some sun to accompany them.

Anyone involved in the Events Industry at any level will agree the one thing you can never rely on is the weather. Especially if, like us, you live in Great Britain.

Although here at The Amazing Tent Company we are seasoned pros at installing our event tents come rain or shine, we have found a neat little app. It really works when it comes to predicting the unpredictable.

WeatherPro offers seven-day forecasts and reports for over two million locations worldwide. Its location specific accuracy makes it a winner for us, and it’s the one App we call upon when planning an install.

We thought the weather was a relevant topic seeing as we write this on a gloomy April Thursday. In a week of pretty much non-stop showers we’ll end on a positive with this pretty picture. It’s from The Amazing Tent Barn and we hope it’s an omen for the season ahead!

The Amazing Tent Company Orientation Day

Yesterday (18/4/12) The Amazing Tent Company braved the April showers and headed to the Amazing Barn for a company orientation day. The aim of the day was to ensure our fabulous crew have the perfect health & safety and technical knowledge in order to deliver the best possible service to our clients.

The busy schedule covered several important factors, code of conduct, client relations, best practice, technical skills, dealing with adverse weather – We had a little help with this one, the weather was miserable to say the least.
The day covered both theoretical and practical aspects. The crew installed an s5000 SaddleSpan perfecting the use of tools and folding the tent fabric.

Aside from the weather, the day went without a hitch and our crew showed the impeccable level of skill, knowledge and dedication we have come to expect from them. They really are a testament and credit to our company and we appreciate the efforts applied to their art form.
